Job Description Job Description Essential Duties and
Responsibilities Receive, open, date-stamp, sort, and distribute
incoming mail, packages, faxes, and electronic documents in
accordance with defined workflows. Prepare, scan, and index medical
record requests and all associated documentation into internal
systems, ensuring accuracy, document integrity, and adherence to
established naming and filing conventions. Manage preparation and
dispatch of outbound mailings, including certified, priority, and
time-sensitive correspondence, following USPS and carrier-specific
standards. Maintain mailroom equipment (e.g., scanners, mail
meters, printers) and perform basic troubleshooting; escalate
equipment malfunctions to the appropriate internal or external
support resources. Document, monitor, and escalate discrepancies,
incomplete submissions, or exceptions encountered during mail
processing. Ensure secure handling of all Protected Health
Information (PHI) and maintain full compliance with HIPAA, privacy
policies, and all applicable regulatory requirements. Maintain a
clean, organized, and compliant mailroom environment aligned with
departmental standards and audit requirements. Support internal
teams by ensuring timely routing and availability of all incoming
medical record responses and related documentation. Perform
additional administrative or operational tasks as assigned by
leadership. Qualifications Minimum Requirements High school diploma
or equivalent. Prior experience in a mailroom, administrative
support, or operational processing role. Ability to lift, carry,
and move packages up to 30 lbs. Basic proficiency with office
equipment, including scanners and multi-function devices. Strong
attention to detail with the ability to follow standardized
procedures consistently. Reliable attendance and adherence to
scheduled work hours. Ability to maintain confidentiality and
manage sensitive information appropriately. Preferred
Qualifications Experience in healthcare operations, medical
documentation, or HIPAA-regulated environments. Familiarity with
document management systems, electronic health record platforms, or
workflow software. Competencies Accuracy and Attention to Detail:
Performs tasks with minimal errors; ensures completeness of
documentation. Organizational Skills: Maintains structured
workflows, prioritizes tasks effectively, and manages time
efficiently. Compliance Orientation: Demonstrates consistent
adherence to policies, regulations, and privacy standards.
Dependability: Maintains consistent attendance and meets deadlines
with minimal supervision. Communication: Communicates clearly and
effectively with internal stakeholders. Technical Proficiency:
Utilizes mailroom and office equipment competently and efficiently.
Work Environment and Physical Demands Standard office and mailroom
environment requiring prolonged periods of standing, walking, and
manual handling of documents and packages. Regular use of scanning
equipment, computers, and office machinery. Physical requirements
include lifting, carrying, bending, reaching, and repetitive motion
associated with document handling. Work is performed on-site during
standard business hours; occasional workflow-driven adjustments may
be required. Pay Details: $21.00 to $23.00 per hour Benefit
